What should a replacement window quote include?

Advice & Guides

What should I look for in a window quotation?

A useful replacement window quote should identify the windows, the product specification, the installation work and the total price. It should also explain VAT, removal, finishing, exclusions, payment terms, timescales and the applicable guarantee or certification arrangements. Compare the same scope across installers before choosing.

A headline price is only helpful when you know what it covers. Use this checklist to turn a proposal into a clear description of the work at your property.

A replacement window quotation checklist

  1. A window schedule. Identify each opening and the proposed size and layout. Make the fixed and opening panes easy to distinguish.
  2. The frame specification. Record the material, proposed system, colours inside and outside, and any glazing-bar or decorative details.
  3. Glass and hardware. Ask for the proposed glazing, handles, locking arrangements and ventilation details to be listed.
  4. Installation scope. Confirm what fitting work is included, how access will be managed and who is responsible for any access equipment.
  5. Removal and disposal. Establish what happens to the existing units and waste materials.
  6. Making good. Clarify the work to surrounding surfaces, window boards, sills and trims. Ask whether decorating or additional repairs are outside the scope.
  7. An understandable price. Show the project total, VAT where applicable, optional upgrades and exclusions.
  8. Programme and payment terms. Record any proposed deposit, payment stages and the basis of the expected ordering and installation timescales.
  9. Handover paperwork. Confirm the applicable product and installation guarantees, exclusions and any insurance-backed cover or certification arrangements.

How do I compare two window quotes fairly?

Place the proposals side by side and match the window schedule first. Then check the frame system, opening configuration, finish and glazing. Finally, compare the installation work and inclusions.

When a difference is unclear, ask the installer to put the explanation in writing. A quote with extra finishing work or a different glass specification is not directly comparable with one that omits those details.

What should I send when requesting a window quote?

  • Your postcode and property type.
  • Photographs of the current windows, inside and outside where practical.
  • The approximate number of windows and which openings you want to change.
  • Any preferred material, colour or style.
  • Your intended timescale and any known access or property restrictions.

You do not need a finished specification to make the first enquiry. On our contact page, tell us what you would like to improve. Our team can discuss the scope and arrange the appropriate survey step.

Common questions about window quotations

Does a lower quote always mean better value?

Compare what is supplied and installed, what is excluded and the relevant paperwork. A lower total alone does not explain whether the two proposals cover the same work.

What is “making good”?

It describes the agreed work to finish or repair surrounding surfaces after installation. Ask for the actual tasks to be listed, rather than assuming it includes plastering, painting or every repair.

Are rough measurements enough for ordering?

Use approximate measurements to explain your enquiry, but confirm the survey and measurement responsibilities before anything is ordered.

What should I keep after installation?

Keep the agreed quotation, invoice, product and installation guarantee paperwork, care instructions and any applicable certification together.

Can I use a project photograph to explain the look I want?

Yes. Link to an example from our Gallery or Projects & Case Studies, and explain which features interest you. We can then discuss a specification for your property.
